General Booking Terms & Conditions

  1. Agreement to Terms
    By making a booking with PTP Coaching Limited, you agree to be bound by these terms and conditions. Any failure to adhere to these terms may result in cancellation or refusal of service without a refund.

  2. Age Requirements
    All participants must be a minimum of 18 years of age to book and use our services. Minors (under 18) must be supervised by a responsible adult during any activities and cannot participate independently.

  3. Payment and Confirmation
    Bookings are only confirmed once full payment has been received. All payments must be made prior to the start of the activity or hire. PTP Coaching Limited reserves the right to cancel any bookings for which payment has not been received.

  4. Cancellation and Refunds
    Cancellations by the client must be made at least 48 hours prior to the booking to receive a refund or reschedule. Cancellations made within 48 hours of the booking will not be eligible for a refund. PTP Coaching Limited reserves the right to cancel bookings due to unforeseen circumstances, including but not limited to weather conditions, in which case a full refund or rescheduling will be offered.

  5. Weather Conditions
    PTP Coaching Limited is not liable for cancellations due to adverse weather unless we deem conditions unsafe for the activity. In the event we cancel due to weather, we will offer a rebooking at the next available and convenient time.

  6. Late Arrivals
    If you arrive late for your scheduled booking without prior notice, PTP Coaching Limited reserves the right to cancel your booking and offer the reserved equipment or activity to another party. No refund will be provided in this case.

  7. Equipment Use
    All equipment provided must be returned in the same condition as received. You are responsible for any loss, damage, or theft of equipment during the hire period. Additional charges may apply for repairs or replacement of damaged or missing equipment.

  8. Personal Responsibility
    All participants must follow safety instructions provided by PTP Coaching Limited. You acknowledge that activities such as water sports involve inherent risks and agree to participate at your own risk. PTP Coaching Limited will not be held liable for any injuries or accidents that occur during the activity.

  9. Health and Safety
    It is the responsibility of the participant to ensure they are in good health and fit to participate in the activities. Any health conditions that may affect participation must be disclosed to PTP Coaching Limited prior to the booking.

  10. Changes to Terms
    PTP Coaching Limited reserves the right to amend these terms and conditions at any time. Clients should review the terms regularly, and the latest version will apply to any bookings made thereafter.

Introduction

These terms and conditions apply between you, the User of this Website (including any sub-domains, unless expressly excluded by their own terms and conditions), and PTP Coaching Limited, the owner and operator of this Website. Cancelation Policy

​By booking any service offered by PTP Coaching Limited you are agreeing to be bound by this cancellation policy.

By booking any service offered by PTP Coaching Limited, you agree to the following cancellation and rescheduling terms.

If You Wish to Cancel or Reschedule Your Session:

  1. Rescheduling Options:
    You can reschedule your session through the online members' area, by email.

  2. Up to 48 Hours Before Session Start:
    If you wish to cancel or reschedule your session at least 48 hours before its scheduled start, you may do so via social media or email. Once processed, you can request a new session of equal value at a later date. Please allow extra time during busy periods for us to process your request.

  3. Group Session Cancellation:
    For group bookings such as private lessons, uniformed groups, or birthday parties, cancellations or reschedules must be made at least 7 days before the booking date. Any changes to times, dates, or participant numbers are subject to management approval.

  4. Self-Managed Rescheduling (Up to 24 Hours Before Session):
    You can reschedule your session up to 24 hours before the start time via the online members' area without penalty. Cancellations more than 48 hours in advance can be processed for a refund or rebooking by contacting us.

  5. Less Than 48 Hours Before Session Start:
    For cancellations or reschedules requested less than 48 hours before the start time, you may be issued a credit for future bookings. Refunds are not provided except in extenuating circumstances and are at the discretion of PTP Coaching Ltd management.

  6. Within 24 Hours of Session Start:
    In extenuating circumstances, a credit may be issued for future bookings, solely at the discretion of PTP Coaching Ltd management. For COVID-19-related cancellations, a dated picture of a positive result is required to issue a credit note.

  7. Incorrect Bookings:
    If you book a session incorrectly (against our lake rules), we are unable to offer a refund. We may reschedule or offer alternatives, subject to management discretion, though this will not be accommodated during peak times.

  8. Weather Conditions:
    We operate year-round and do not offer credit notes or refunds due to adverse weather unless PTP Coaching Ltd closes the lake for safety reasons.

If We Need to Cancel or Reschedule Your Session:

  1. Session Cancellations by PTP Coaching Ltd:
    If we cancel your session for any reason, we will give as much notice as possible.

  2. Partial Session Cancellations (e.g., Due to Weather):
    If we need to cancel part of your session (such as a sudden weather-related lake closure), we will offer you a credit for another full session at no additional cost. Refunds will only be offered in extenuating circumstances.

  3. Full Session Cancellations:
    If we cancel an entire session, you will be offered a credit for a future session. Refunds will only be processed upon request.

  4. Additional Costs:
    No additional compensation will be offered for any costs incurred by you in relation to attending a session (such as travel, parking, accommodation, or food).

Winter Subscriptions and Pre-Paid Sessions:

  1. Monthly Subscriptions:
    Subscriptions are subject to refund or credit if we are unable to open for more than 1 week (7 consecutive days) in any paid monthly period. Refunds will be based on the number of full weeks the lake was closed, calculated as follows:

    • 1 week closure: 1/4 of the monthly subscription credited or refunded.

    • 2-week closure: 1/2 of the monthly subscription credited or refunded.

    • 3-week closure: 3/4 of the monthly subscription credited or refunded.

    • Full 4-week closure: Full monthly subscription credited or refunded.
      Credits and refunds are only processed upon request.

  2. Pre-Paid Sessions:
    Prepaid sessions will be credited or refunded if the lake is unavailable, as per the following criteria:

    • If the lake is unavailable for 10 weeks (not necessarily consecutive) between the date of purchase and 31 March, or

    • For each week the lake is unavailable between the date of purchase and 31 March.
      Credits or refunds will be calculated based on the number of weeks the lake was unavailable or the percentage of remaining unused tickets.

Example:

  • If you purchase 10 weeks before 31 March and use only 6 tickets, but the lake was only open for 8 weeks, you will receive a 20% credit or refund.

  • If you purchase 6 weeks before 31 March and use 4 tickets, but the lake was only open for 3 weeks, you will receive a 50% credit or refund.

We appreciate your understanding and cooperation in adhering to this cancellation policy.

Beckenham Place Park Swimming Lake Rules

​

Before Arriving

  • Do not come to the lake if showing symptoms of COVID-19.

  • No one without a session ticket will be allowed in/on the lake.

At the Lake

General

  • ​You must be able to fit your own equipment, or be with someone that can. Staff are only permitted to assist you verbally.

  • Use hand sanitiser after touching anything whilst at the lake and wash with soap and water when ever possible. 

  • Appropriate clothing must be worn whether around or on the lake. (No naturism) 

  • Respect our Staff and do not put them at unnecessary risk.

  • Do not distract the Life-Guards unless you are alerting them to an emergency.

  • Be alert to the signs of cold-water Shock. The lake can be deceptively cold.

  • Under 14’s must be accompanied by an adult at all times.

  • No Spectators.

  • No Dogs. 

Swimming

Paddle Sports

  • You must follow all staff instructions.

  • Everyone must wear a tow-float while swimming.

  • You must be an experienced swimmer and able to swim 25m confidently

    • Those Aged 8-11 must complete a competency test consisting of; 25m swim on front, 25m swim on back, star float front and back (held for 3-5 seconds). 

    • Those Aged 12-14 must complete a competency test consisting of; 50m swim (any stroke)and star float on back (held for 3-5 seconds). 

  • No persons under 8 years old are permitted to swim. 

    • One adult can supervise TWO aged 8-11 in the water.

    • One adult can supervise up to five Aged 12- 14 (Adult can be on the bank).

    • Those aged 15+ can book a swim on their own.

  • Wetsuits are recommended when the water is below 14 degrees.

  • Know your limits. Do not put yourself or our staff at risk by doing too much.

  • You must follow the one-way system.

  • Members of the same household/Bubble swimming as a group must be aware of obstructing other swimmers.

  • You must follow all staff instructions.

  • Everyone must wear a buoyancy aid while on the lake.

  • Maximum of 2 people (weighing no more than 130kg) on paddle boards. (Unless instructed otherwise)

  • No persons under 2 years old are permitted on the lake.

  • Under 8's must must be accompanied on the lake.

Cold water Swimming

  • Cold water swimming is defined as when the water temperature is below 14C.

  • Although not mandatory, we STRONGLY recommend wearing a wet suit throughout this period, and particularly when the lake temperature is below 15 Celsius.

  • All swimmers MUST have completed a cold water swim induction prior to swimming during this period.  Failure to do so will result in refusal of entry to the lake and no refund being offered in respect of missed sessions.

  • Cold water inductions conducted through the 2019-2023 winter period are still valid.  Please ensure you check that we still have your details prior to arriving at the lake to avoid disappointment.

Bewl Water Hire and Usage Rules 

By booking any hire service offered by PTP Coaching Limited at Bewl Water you are agreeing to be bound by this policy.

​

You assume full responsibility for the equipment you are provided with for the duration of the hire and the accompanying accessories. You shall bear all risk of damage or loss of the equipment, or any portion thereof, including (but not limited to) damage and theft, and shall pay PTP Coaching Ltd the cost of repair or replacement in the event of (but not limited to) damage, loss, or theft of the equipment.

You are liable for all dirty, damaged, lost, or stolen equipment and any fees associated with the listed equipment, and that all equipment must be returned in good condition as determined by PTP Coaching Ltd. You are responsible for returning the listed equipment at the agreed upon time on the due date of the hire period as shown on the Hire Agreement, and that a late fee will be charged for items that are overdue. Late fees will be charged at the 2 hourly rate for hire of the equipment at the time of hire.

PTP Coaching Ltd is not responsible for the weather and will not consider adverse weather conditions as reason to cancel or refund any booked and/or paid for hire if we consider it safe to take part in the activity. In the event we cancel the hire due to unsafe weather conditions (such as strong wind or lightening) we will contact you to rebook at the next available slot convenient to you.

If you are late in arriving for you scheduled hire (over 15 minutes) without notification, PTP Coaching Ltd reserves the right to cancel your booking and rehire the reserved craft to another party with no refund due to you.

 

No tuition or training is provided by PTP Coaching Limited.

​

Hirers must be a minimum of 18 years of age and must be present during the use of the equipment. Under 18 year olds are not to be left to use the equipment without the hirer present and on the water with them.

​

All local regulations, and all lawful directives from appropriate emergency or law enforcement personnel, must be followed while operating or renting the watercraft. PTP coaching Ltd except no responsibility and will offer no refunds in respect of time lost from the hire period due to interactions with emergency services or law enforcement and the hirer remains liable for any breaches of regulations while in control of the equipment.

Maximum weight limits for the vessel, as advised by our staff, are not to be exceeded.

​

The equipment is not leave the Bewl Water Reservoir and under no circumstances shall the equipment be transported on a vehicle.

​

You are responsible for checking the water craft is in good working order, condition, and repair before taking it on the water, and are to highlight any issues to the staff prior to leaving the hire location. 

​

No watercraft is to be used under the influence of drugs or alcohol. PTP Coaching Ltd reserve the right to refuse hire to anyone they reasonably believe may be as such. Refunds in this circumstance will be solely at the discretion of PTP Coaching Ltd.

​

RECOGNITION OF RISK: 

Canoeing/kayaking/paddleboarding and all other water sports are activities with inherent risks of injury to persons and property. You are to be aware of these risks and understand them. PTP Coaching Limited requires all hirers to wear a Buoyancy Aid at all times while on the water. There are dangers when paddling on tidal or still water and weather can play a factor in paddling safety and such activities are subject to the unpredictable forces of nature.

 

RELEASE OF LIABILITY:

PTP Coaching Limited, its agents, contractors, employees, and owners will not be held liable for negligence, loss, expense, or cost, including solicitors fees, arising out of damages or injuries, whether to persons or property, including those not listed on this agreement, occurring as a result of the rental or use of said canoe/kayak/paddleboard and equipment. PTP Coaching is not responsible for any loss or damage of personal items taken with you on your hire.

CHARGES FOR LOSS OR DAMAGE:

Loss or damage of the below items will result in that following replacement charges:

Weirwood Lake is committed to providing a safe and enjoyable environment for all participants. Please review the rules and guidelines carefully to ensure a positive experience.

Before Arriving

  1. Health Precautions:

    • Do not visit the lake if you are showing symptoms of COVID-19 or feeling unwell.

  2. Access:

    • Only those with a valid session ticket are permitted in or on the lake.

At the Lake: General Rules

  1. Equipment Use:

    • Participants must be able to fit their own equipment or be accompanied by someone who can assist.

    • Staff can only provide verbal guidance for equipment fitting.

  2. Hygiene:

    • Use hand sanitizer after touching shared surfaces.

    • Wash your hands with soap and water whenever possible.

  3. Appropriate Attire:

    • Wear suitable clothing around and on the lake. Naturism is strictly prohibited.

  4. Respect for Staff:

    • Follow staff instructions and avoid actions that could endanger staff members.

  5. Lifeguards:

    • Do not distract lifeguards unless there is an emergency.

  6. Cold-Water Shock Awareness:

    • Be mindful of the risks associated with cold-water shock, as the lake temperature can be deceptively cold.

  7. Children:

    • Children under 14 must be supervised by an adult at all times.

  8. No Spectators or Pets:

    • Spectators are not permitted.

    • Dogs are not allowed on-site.

Swimming Rules

  1. General Requirements:

    • Follow all staff instructions.

    • Use a tow-float during all swimming activities.

  2. Age Restrictions and Competency Tests:

    • Swimmers must be experienced and able to swim 25m confidently.

    • Children aged 8–11 must complete a competency test:

      • 25m swim on front and back.

      • Star float on front and back (3–5 seconds).

    • Children aged 12–14 must complete a competency test:

      • 50m swim (any stroke).

      • Star float on back (3–5 seconds).

    • Swimming is not permitted for children under 8 years old.

  3. Supervision Requirements:

    • One adult may supervise up to two children aged 8–11 in the water.

    • One adult may supervise up to five children aged 12–14 (adult may remain on the bank).

    • Individuals aged 15+ can book a swim session independently.

  4. Cold-Water Precautions:

    • Wetsuits are strongly recommended when the water temperature is below 14°C.

  5. Conduct in the Water:

    • Follow the designated one-way swimming system.

    • Ensure group swimming does not obstruct other swimmers.

    • Know your limits and avoid overexertion to reduce risk to yourself and others.

Cold-Water Swimming Rules

  1. Definition:

    • Cold-water swimming is classified as swimming in water temperatures below 14°C.

  2. Wetsuit Recommendation:

    • Although not mandatory, wetsuits are strongly recommended when the water temperature is below 15°C, particularly during colder months.

  3. Cold-Water Swim Induction:

    • All cold-water swimmers must complete a cold-water swim induction before participating.

    • Inductions completed between 2019–2023 remain valid; please confirm your details with us before arriving.

  4. Non-Compliance:

    • Failure to complete a cold-water swim induction will result in denial of entry to the lake, and no refunds will be issued for missed sessions.

Group, School, and Birthday Booking
& Cancellation Policies

At PTP, we aim to make group, school, and birthday bookings as seamless as possible, while ensuring fairness and flexibility for all our customers. Our policies are designed to provide clear guidance on bookings, payments, and cancellations.

Booking Policy

1. Making a Booking:

  • Advance Booking:
    All group, school, and birthday party bookings must be made in advance to ensure availability.

  • Minimum Group Size:
    Bookings require a minimum of 10 participants unless otherwise agreed upon.

  • Customized Packages:
    Tailored packages can be arranged to suit specific requirements, including activity choices, duration, and additional services such as catering.

2. Booking Confirmation:

  • A booking is only confirmed once a deposit is received (see payment policy below).

  • Confirmation details, including activity schedules, safety requirements, and participant guidelines, will be provided via email upon confirmation.

Payment Policy

1. Deposits:

  • A non-refundable deposit of 25% of the total booking cost is required to secure the booking.

  • For bookings made within 14 days of the event, full payment is required upfront.

2. Final Payment:

  • The remaining balance must be paid at least 14 days before the scheduled date.

  • If the balance is not received by this deadline, the booking may be canceled, and the deposit forfeited.

3. Methods of Payment:

  • Payments can be made via bank transfer, credit/debit card, or other agreed-upon methods.

Cancellation Policy

1. Customer-Initiated Cancellations:

  • More than 14 Days Before the Event:

    • Cancellation requests received more than 14 days in advance will receive a refund of any payments made, excluding the non-refundable deposit.

  • 14 Days or Less Before the Event:

    • Cancellations within 14 days of the event will not be eligible for a refund.

  • Same-Day Cancellations:

    • If a booking is canceled on the day of the event or participants fail to attend, no refund will be issued.

2. Rescheduling Requests:

  • More than 14 Days Before the Event:

    • Rescheduling is allowed without additional charges, subject to availability.

  • 14 Days or Less Before the Event:

    • Rescheduling within this period may incur an administrative fee of £25.

3. PTP-Initiated Cancellations:

  • In the rare event that PTP must cancel a booking (e.g., due to severe weather or unforeseen circumstances), customers will be offered the following options:

    • A full refund, including the deposit.

    • The option to reschedule at no additional cost.

Weather & Safety-Related Cancellations

  • If weather or other safety conditions prevent activities from taking place, the decision to cancel will be made by PTP management.

  • Customers will be informed as soon as possible and offered the choice of a full refund or rescheduling.

Amendments to Booking Details

  • Participant Numbers:

    • Final participant numbers must be confirmed 7 days before the event.

    • Reductions in participant numbers after this point will not qualify for a refund.

  • Activity Changes:

    • Requests to change the booked activities must be made at least 14 days in advance and are subject to availability.

Additional Information

Group Leader Responsibility:

  • For school and group bookings, a designated group leader is required to act as the primary contact and ensure participants follow safety and conduct guidelines.

Special Requirements:

  • Any special requirements (e.g., accessibility needs or dietary restrictions for catering) should be communicated at the time of booking.

Refund Processing:

  • Refunds for eligible cancellations or overpayments will be processed within 7–10 business days.

Terms & Conditions Agreement

By confirming a booking, customers agree to abide by PTP's policies and terms. A copy of our full terms and conditions will be provided during the booking process.

Gift Card Policy

  1. Purchasing Gift Cards

    • Gift cards can be purchased directly from PTP Coaching Ltd via our website, by phone, or at our physical locations.

    • Gift cards are available in various denominations. The value of the gift card must be specified at the time of purchase.

    • Payments for gift cards can be made via bank transfer, credit/debit card, or other accepted methods.

  2. Validity & Expiry

    • Gift cards are valid for a period of [12 months] from the date of purchase, unless otherwise specified at the time of purchase.

    • After the expiration date, any remaining balance on the gift card will be forfeited.

  3. Redemption

    • Gift cards can be used to pay for any services provided by PTP Coaching Ltd, including but not limited to classes, events, and equipment hire.

    • Gift cards can only be used at PTP Coaching Ltd's official locations, unless otherwise specified.

    • Gift cards cannot be redeemed for cash or refunded.

    • If the value of the gift card is less than the total price of the service, the remaining balance must be paid using an alternative payment method.

  4. Lost or Stolen Gift Cards

    • PTP Coaching Ltd is not responsible for lost or stolen gift cards. If a gift card is lost or stolen, please contact us as soon as possible. We may, at our discretion, replace the card with proof of purchase.

  5. Transfers & Resale

    • Gift cards are transferable, and recipients may use them for any valid purchases. However, they cannot be resold or exchanged for money.

    • PTP Coaching Ltd reserves the right to cancel or refuse any gift card transaction if fraudulent activity is suspected.

  6. Refunds & Exchanges

    • Gift cards are non-refundable. If a booking or event is canceled by PTP Coaching Ltd, the gift card balance will remain valid for future use, in accordance with our refund policy for services.

    • If a purchase made with a gift card is canceled by PTP Coaching Ltd, the balance will be refunded to the gift card.

  7. Terms of Use

    • PTP Coaching Ltd reserves the right to modify or cancel gift card terms and conditions at any time, with notice. Changes will be communicated to customers via email or on the website.

  8. Corporate & Bulk Purchases

    • For corporate or bulk purchases of gift cards, please contact PTP Coaching Ltd for special terms and conditions.

Excursions Booking and T&C

  1. Booking Process

    • All excursion bookings must be made at least 4 weeks in advance to secure a place. Bookings can be made via the PTP Coaching Ltd website, by phone, or in person at one of our locations.

    • A non-refundable deposit of 25% is required at the time of booking, with the remaining balance due [X] days before the start of the excursion.

    • Once the booking is confirmed, participants will receive a booking confirmation email with all details of the excursion, including dates, locations, and required gear.

  2. Payment & Fees

    • Payments can be made by bank transfer, credit/debit card, or other accepted methods.

    • If the full balance is not received by the due date, PTP Coaching Ltd reserves the right to cancel the booking and retain the deposit.

  3. Cancellations & Refunds

    • Cancellations made more than 6 weeks before the excursion will receive a full refund minus the deposit.

    • Cancellations made between 6 and 4 weeks before the excursion will receive a 50% refund.

    • Cancellations made less than 4 weeks before the excursion will not receive a refund.

    • In the case of a cancellation or significant change to the excursion by PTP Coaching Ltd (e.g., unsafe weather conditions, instructor illness), participants will be offered an alternative date or a full refund.

  4. Weather & Safety

    • PTP Coaching Ltd reserves the right to cancel or alter the excursion schedule due to adverse weather or unsafe conditions. In such cases, participants will be offered alternative dates or a refund.

    • Participants are required to follow all safety instructions and guidelines provided by PTP Coaching Ltd and instructors during the excursion. Failure to comply may result in removal from the activity without refund.

  5. Travel & Transport

    • For excursions that include transport, participants must ensure they arrive at the designated meeting point on time. PTP Coaching Ltd will not be liable for missed transport due to late arrival.

    • Travel arrangements will be communicated prior to the excursion. Additional fees may apply for transport if not included in the original booking.

  6. Equipment & Gear

    • PTP Coaching Ltd will provide necessary equipment for the excursion. However, participants may be required to bring personal gear such as clothing, footwear, or toiletries. A list of recommended gear will be sent with the booking confirmation.

    • Participants are responsible for the care and return of any equipment provided by PTP Coaching Ltd during the excursion. Charges may apply for damaged or lost equipment.

  7. Liability & Insurance

    • PTP Coaching Ltd holds public liability insurance for all activities. However, participants take part in excursions at their own risk. Participants must complete a waiver and medical declaration form prior to departure, especially for activities like swimming or watersports.

    • Parents or guardians must provide written consent for minors under the age of [X] to participate in any excursions.

  8. Health & Safety

    • Participants are required to inform PTP Coaching Ltd of any medical conditions, dietary restrictions, or special requirements at the time of booking.

    • It is the responsibility of each participant to ensure they are fit and healthy enough to take part in the activities planned for the excursion. If any participant becomes unfit during the excursion, PTP Coaching Ltd reserves the right to request they do not continue.

  9. Code of Conduct

    • All participants must adhere to the PTP Coaching Ltd code of conduct during the excursion. Any participant engaging in unsafe, disruptive, or inappropriate behavior may be removed from the excursion without refund.

    • Participants must respect the local environment, community, and other participants during the excursion.

  10. Photography & Media

  • PTP Coaching Ltd may take photographs and videos during excursions for promotional purposes. Participants who do not wish to be featured in such media should notify PTP Coaching Ltd in advance or upon arrival.

  1. Changes to Bookings

  • Changes to bookings (such as name changes or date changes) must be requested at least [X] days in advance. Additional fees may apply for changes, depending on availability and circumstances.

  • Special group requirements or requests (such as private excursions or tailored experiences) should be discussed and confirmed at the time of booking.

  • PTP Coaching Ltd will not be liable for any delay or failure to perform any obligations under these T&Cs due to unforeseen events or circumstances beyond our control (such as natural disasters, strikes, or acts of terrorism).

Water Quality Policy

  1. At PTP, we place the utmost importance on water quality, recognizing its critical role in ensuring the safety, health, and enjoyment of all participants in our activities. This comprehensive policy outlines our commitment to maintaining and improving water quality across all our operational sites, including Beckenham Place Park, Bewl Water, and Weirwood Reservoir. By adhering to the highest standards and collaborating with governing bodies, local authorities, and environmental organizations, we aim to provide safe, clean, and enjoyable environments for open-water swimming, paddleboarding, kayaking, and other watersports activities.

  5. Parameters Monitored:
    We monitor key indicators of water quality, including bacterial levels (such as E. coli and intestinal enterococci), pH levels, turbidity, and the presence of harmful algae. This ensures that any potential health risks are identified and addressed promptly.

  6. Testing Methods:
    Testing is conducted by accredited laboratories or in partnership with local environmental agencies. Samples are taken from multiple points within each waterbody to provide an accurate representation of overall water quality.

    If water quality issues are identified, immediate action is taken, including temporarily suspending activities, notifying participants, and implementing remediation measures.

  10. Swim England Standards:
    For open-water swimming activities, we comply with Swim England’s water quality guidelines, ensuring a safe environment for swimmers of all levels.

  11. Environmental Agency Regulations:
    We work closely with the Environmental Agency to ensure our waterbodies meet the standards outlined in the Bathing Water Directive and other relevant regulations.

  12. British Canoeing and RYA Guidelines:
    Our watersports activities are conducted in line with the safety and environmental policies established by British Canoeing and the Royal Yachting Association.

Terms & Conditions For Invoice Payment

  1. Payment Terms:
    All invoices are due for payment within 30 days from the invoice date, unless otherwise agreed in writing.

  2. Late Payments:
    a. If payment is not received within the 30-day period, a late payment fee of 12% of the outstanding balance will be applied per week for up to four weeks.
    b. After four weeks of non-payment, the outstanding invoice, including any accrued fees, will be referred to a debt collection agency, and any additional costs incurred during this process will be added to the debtor's balance.

  3. Debt Collection:
    Once an invoice is passed to a debt collection agency, the matter will be handled directly by the agency, and the debtor will be responsible for any legal and administrative fees associated with the collection process.

  4. Disputes:
    Any disputes regarding the invoice must be raised in writing within seven days of the invoice date. Disputes raised after this period will not be entertained, and the invoice will be deemed valid and payable in full.

  5. Agreement to Terms:
    By engaging with our services, the client acknowledges and agrees to these Terms & Conditions.

  6. Effective Date:
    These Terms & Conditions are effective as of 01 January 2025 and will apply to all invoices issued on or after this date.

Subscription Policy

PTP Coaching Ltd offers various subscription plans tailored to different needs, including but not limited to: monthly, quarterly, and annual memberships.

Subscription plans may include services such as regular classes, access to events, specialised training, and other benefits as outlined at the time of subscription.

 

Subscription plans and pricing are subject to change. Any changes will be communicated to subscribers in advance.

Subscription Sign-Up & Payment

Subscriptions can be purchased directly through the PTP Coaching Ltd website, by phone, or in person at one of our locations.

A valid payment method is required at the time of subscription. Payment for subscriptions will be processed automatically according to the chosen billing cycle (monthly, quarterly, or annual).

 

Subscriptions are billed on the 21 day of each billing cycle, and payment will be charged to the payment method on file.

If a payment is declined, the subscription will be temporarily paused until payment is successfully processed.

Trial Period

Some subscription plans may offer a trial period, allowing new subscribers to experience the services before committing. The trial period will be specified at the time of sign-up and must be used within [X] days of activation.

Trial periods are subject to the same terms as a regular subscription once the trial ends. Subscribers may cancel before the end of the trial to avoid being charged for the full subscription.

Cancellations & Refunds

Subscribers may cancel their subscription at any time via the website, by phone, or by emailing customer support.

For monthly or quarterly subscriptions, cancellation will take effect at the end of the current billing cycle. No refunds will be issued for unused services within the cycle.

For annual subscriptions, a partial refund may be considered based on the unused portion of the subscription. Refunds are not guaranteed and will be assessed on a case-by-case basis.

If a cancellation request is made before the renewal date, the subscription will not automatically renew, and the subscriber will not be charged for the next cycle.

Account & AccessSubscribers will have access to all services included in their chosen subscription plan, as specified at the time of purchase. This may include online resources, discounted event rates, exclusive content, or other offerings.Access to certain services may be restricted based on the subscription type. Specific details will be outlined at the time of sign-up.

Suspension of Services

PTP Coaching Ltd reserves the right to suspend or terminate a subscription if the subscriber fails to comply with the terms and conditions of the subscription, engages in disruptive or inappropriate behavior, or if payment cannot be processed.

If a subscription is suspended, access to services may be limited until payment is made or the issue is resolved.

Changes to Subscription Plans

PTP Coaching Ltd reserves the right to modify subscription plans, pricing, and benefits at any time. Subscribers will be notified of any changes, and the new terms will apply from the next billing cycle.

If the changes significantly affect the subscriber’s experience, they will have the option to cancel their subscription before the new terms take effect.

Automatic Renewal

All subscriptions, unless canceled before the renewal date, will automatically renew for the same duration (monthly, quarterly, or annually) and at the current subscription rate.

Subscribers will receive a notification prior to the renewal date, outlining the next payment and subscription details.

Account Security

Subscribers are responsible for maintaining the confidentiality of their account details and payment information. Any unauthorised use of an account should be reported to PTP Coaching Ltd immediately.

Subscribers should notify PTP Coaching Ltd of any changes to their payment details to ensure uninterrupted service.

Privacy & Data Protection

PTP Coaching Ltd is committed to protecting the privacy and personal information of our subscribers. Personal data will be processed in accordance with our Privacy Policy and relevant data protection laws.

Subscription data will only be used to manage the subscription, process payments, and provide the services offered under the subscription plan.

Force Majeure

PTP Coaching Ltd will not be held liable for failure to perform any of its obligations under this Subscription Policy due to unforeseen events beyond our control (such as natural disasters, pandemics, or other emergencies).
